Counting Participants

posted by: Wendy Smith on 4/11/2013 9:10 am

Counting participants is harder than it seems it should be, but "life happens" so teachers do sometimes have to drop out of MSP activities, or change districts/buildings/grade levels.

Something we didn't mention today in the webinar were specifics about how to efficiently share participant data among research and evaluation team members.

One piece of technology we have adopted is to use google docs to maintain our participant list. We have learned to restrict who has editing power, so that information does not get changed incorrectly. By sharing this document among project and evaluation staff, then everyone has the most current information at all times, without needing to email around big spreadsheets regularly. We keep one column as a "comment" tab to note if there are changes, and keep track of past positions/schools/districts (and effective dates) if that information changes over time.

Using an Access database (or similar program) is another good option, especially to connect teacher data and demographic variables. In this case, unlike google docs, you can't share the file in ways that everyone can be working on it at the same time, but you can use DropBox or other Cloud servers to share the file among project and evaluator teams.

How has your project utilized technology to facilitate record-keeping and sharing information among project and evaluation team members?

Hi Wendy,

Thanks so much for hosting the webinar. As I was listening, it occurred to me that much of the information being shared would also be enormously helpful to newly funded projects. I'm wondering if there isn't value in including a presentation much like this one as part of the LNC "newly funded projects" special session, or, as a specific breakout session during the full LNC meeting.

Also, perhaps a "best practices" document could be developed and posted to MSPNet?

Thanks again for your hard work. I really appreciate the strategies and tips shared by you and your colleagues.

With best regards,
Susan
